The Opportunity

This compelling opportunity is open for a dynamic Executive Assistant who will provide crucial support to our Pharmacy group's CEO, involving schedule management, appointment coordination, correspondence handling, task prioritisation, and ensuring seamless daily operations while serving as a gatekeeper to the executive leadership team.

Key Accountabilities

  • Provide comprehensive and confidential administrative support services to facilitate service delivery goals.
  • Manage calendars efficiently, prioritising appointments and rearranging as needed.
  • Coordinate appointments, meetings, events, travel, and expense claims.
  • Support various meetings by preparing agendas, briefings, notes, and follow-ups.
  • Professionally handle phone calls, redirecting or taking messages and addressing queries.
  • Draft, proofread, and edit correspondence, reports, presentations, and documents.
  • Research and gather data on specific topics for reports and issue responses.
  • Keep Leadership Team members well-informed of upcoming commitments and issues.
  • Act as a liaison between the Leadership Team and other stakeholders, scheduling meetings and maintaining clear communication.

Your Skills and Experience

  • 5+ years of experience supporting executives and senior management.
  • Exceptional interpersonal skills, maintaining a positive and resilient demeanour under pressure.
  • Strong attention to detail in written and verbal communication, including proofreading.
  • Proven ability to work effectively under pressure and meet tight deadlines.
  • Expertise in handling sensitive information with the utmost discretion and confidentiality.
  • Self-motivated and highly productive, capable of working independently.
  • Flexible and proactive approach to work, adept at prioritisation for successful outcomes.
  • Intermediate to advanced proficiency in Microsoft Office and communication technology.
  • Quick adaptation to new technology and acquisition of technical skills.

Desirable but not essential

  • Qualifications in Business Administration, Management, Health Management, or a related field.
  • Healthcare organisation experience.

Requirements

  • Must provide a National Police check conducted within the previous 12 months.
