About the Team

The Property Unit is responsible for the planning, development, space management, maintenance and operations of the University’s property resources in order to achieve the most efficient use of those resources to best meet the University’s teaching, research and community service requirements.

The Director, Property, is responsible for the overall strategy and management of campus real estate. The Property Unit supports and facilitates the safe, sustainable, and efficient operation of campus infrastructure.

About the Role

The Administration Officer contributes to the efficient operation of the Property Unit by providing efficient administrative support across the Unit reporting to the EA for the Director and liaising closely with the Property Unit Leadership team.

The role provides support across a diverse range of activities including general, financial and operational administration. The position is expected to be customer oriented and deliver quality administration services with maximum effectiveness.

If successful for the role, your responsibilities will include:

  • Manage communication proactively to enhance the Director’s and Team Leaders’ working relationships with members of the university community and external parties including answering or redirecting enquiries and preparing draft correspondence and forms.
  • Provide diary management and meeting coordination services including the coordination of schedules, ensuring meeting information is available and complete, organizing meeting papers, minutes and coordinating action items.
  • Provide support to recruitment activities within the Unit, including interview scheduling, documentation and recruitment administration as required.
  • Manage travel arrangements in line with University policies and procedures. Ensure efficient, reliable, safe and cost-effective travel bookings, accommodation, visa and travel acquittals.
  • Develop, implement and maintain processes, procedures and systems to enable the efficient administration of tasks.
  • Coordinate training events and workshops including preparing PowerPoint slides and notetaking support.

  • Ability to work independently or as part of a team being proactive in the execution of duties
  • High level knowledge of the use of relevant Microsoft Office applications
  • Completion of a diploma or higher qualification in a relevant area with relevant work experience OR an equivalent combination of relevant experience and/or education/training in providing support.

Remuneration & Benefits

Base Salary Range: $80,044 to $91,570 pa (HEW 5)

This role attracts 17% superannuation (pension) in addition to the base salary.

This position is full time and appointment will be made on a continuing basis.
