About the Portfolio

Property Services has approximately 90 staff and has responsibility for the operation, maintenance, utilisation and enhancement of buildings owned and leased by RMIT University. Property Services oversees construction projects and ensures the provision of physical facilities services. The Group has an operating budget of in excess of $73m and current capital projects are significant.

RMIT's built environment involves approximately 124 buildings spread across all of RMIT's campuses and sites. The capital stock of the University is diverse and valued at approximately $2 billion and includes heritage and other classifications. Property Services currently consists of the following areas:

The Role

The Property Manager is responsible for the successful management of all University commercial real estate and retail agreements. The position proactively manages the commercial property portfolio that supports and aligns with the RMIT strategy.

The position provides pertinent expertise on real estate and related property matters across a large-scale, complex portfolio of commercial, retail, and partnership agreements distributed across freehold titles and diverse leasehold and crown Leases. The Property Manager is the interface between Property Services and internal and external stakeholders, engages and ensures that real estate assets and functions are delivered with a high degree of client service.

Skills & Experience

  • High level of customer service, understanding provision of client focused operations and the importance of providing excellent customer service with willingness and ability to abide by this principle within a large organisation.

  • Significant experience in and comprehensive knowledge of the property industry, including a thorough understanding of common commercial, residential leasing and property management practises, legislation, procedures and terminology with focus on the Real Estate Agents Act 1980, Retail Leases Act, Owners Corporations Act 2006 and any other required legislation commensurate with the position.

  • Experience in and comprehensive knowledge of corporate and strategic property portfolio planning, acquisition, divestment strategies and property management within a tertiary education or similarly large complex environment.

  • Demonstrated experience in financial management of leasing portfolio, strong commercial awareness and contract management experience with an ability to identify alternative solutions to various matters.

  • A high level of interpersonal, negotiation and written communication skills with the ability to communicate effectively with a diverse range of internal and external stakeholder groups and manage the expectations and interests of competing internal and external stakeholders.

  • Excellent reporting, organisation and time management skills to deal with several matters, work to deadlines and prepare business reports, business cases and recommendations based on established policies, procedures and legislation.

  • Excellent computer based skills and high level of data numeracy.

  • This position acts with significant autonomy in building and managing key internal and external relationships and resources. As such, the position requires high levels of integrity, commitment, analysis and judgment.

  • Lead and deliver the University's asset portfolio to produce required outcomes, management and reporting by providing subject matter expertise and operational advice for tenancy management, retail strategy, budget forecasting, and any other commercial or in kind site dealings.

  • Represent the University in negotiations with solicitors, landlords, managing agents, Owners Corporation and any other external parties including the commission and oversight of supplementary services such as Valuations, town planning, legal counsel and consultancy as required.

  • Oversee schedules for payables, receivables, statutory obligations, rent review and arrears management for action with Financial Services Group to ensure the both the University's obligations and interests are secure.

  • Manage the timely preparation and execution of Leases, Licences, Renewals and any other Real Estate agreements as appropriate with instruction to Legal Services Group and ensure sound administration and safe custody of specialist property agreements including Certificates of Title, Executed Agreements and Bank Guarantees.

  • Manage cooperative relationships with the relevant property stakeholders and provide key stakeholders with support through high level strategic and operational advice to ensure effective utilisation and optimisation of the property portfolio as both an enabler to the University's activities and to generate income.
