Reporting to the Head of Project Controls and Support within IT Business Services (ITBS), the PMO Portfolio Governance & Reporting Manager plays a critical role in ensuring that the ITBS Portfolio is delivered successfully and that project management practices are consistent and effective.

The ITBS portfolio consists of 60+ active projects with a portfolio value of £29m. Strong governance of a diverse and complicated portfolio is vital to the success of the Portfolio Delivery function. As the PMO Portfolio Governance & Reporting Manager, you will be responsible for setting the governance standards for project delivery, overseeing the end-to-end project lifecycle and developing and implementing project management methodologies, processes, templates and tools to ensure consistent project delivery across the Portfolio.

As the PMO Portfolio Governance & Reporting Manager, you will also be responsible for monitoring project progress and providing regular reports and updates to the ITBS Leadership Team. You will leverage the data available to highlight areas of poor performance and make recommendations for improvements to the Head of Project Controls and Support and the Director of Portfolio Management.

To support you in your role, you will have line management responsibility for the PMO Governance Assistant Manager in the team.

Key responsibilities include:

  • Line managing and developing the PMO Governance Assistant Manager, supporting them to learn and grow, expanding their role as skills and capacity allow
  • Developing and implementing project management methodologies, processes, templates and tools to ensure consistent project delivery across the portfolio
  • Continuously improving project management processes, templates and tools to increase efficiency and effectiveness
  • Governance of internal processes, ensuring standards are adhered to
  • Chairing the monthly Operational Risk Review meeting and presenting at the UK IT Risk Governance meeting
  • Ownership of the monthly Portfolio Delivery Service Review pack data, reviewing content and adding insights to the results
  • Validation of, and reporting on, monthly delivery metrics, Portfolio Delivery SLAs and KPIs used by internal team and business stakeholders
  • Review and issue the weekly Portfolio Watchlist project status updates ensuring key stakeholder relevant information is included and communicated clearly
  • Ownership of the Customer Satisfaction process; analysing feedback and working with Programme Managers to share and action results
  • Leading on Benefits Management - working with benefit owners to track benefits realised and reporting on benefits delivered
  • Managing the relationship with the Transformation Management Office team to ensure alignment on process, metrics and tolerances
  • Being the ServiceNow SPM SME for PMO, testing new functionality when updates are released, and advocating usage across the Portfolio team
  • Overseeing the development and maintenance of the PMO SharePoint site
  • Providing leadership, guidance, and support to project managers, programme managers and other PMO team members
  • Working collaboratively with the wider PMO Team to drive continuous improvement

Essentials

  • Relevant experience working in a PMO and proven experience in a PMO Management role
  • People management experience, with either a direct or indirect team
  • Strong understanding of project management methodologies and tools
  • Excellent communication and interpersonal skills, ability to effectively engage with stakeholders at all levels
  • Strong attention to detail and organizational skills
  • Analytical mindset, ability to synthesise and visualise complex data
  • Proficient in the use of Microsoft tools (including Project, Excel, PowerPoint, SharePoint, Teams, Power BI)
  • Ability to take initiative, working independently as well as within a team
  • Must be very well organised and be able to respond to changing priorities
  • Ability to prioritise and schedule own workload to meet required deadlines
  • Ability to demonstrate initiative and pro-activeness

Desirable

  • Experience using ServiceNow SPM and Azure DevOps for project management
  • Report building in Power BI and ServiceNow
  • Working with offshore teams
