Together, we are driven to be thoughtful, practical, and purposeful in all we do. Taking this combined approach is what makes our work matter. This role is based in the Vice-Chancellor and President’s Office, driving our strategic initiatives and priorities focused on providing exceptional education and research and, underlying this, a mission to support society.

Why your Role Matters
This is a dynamic position providing confidential executive support and diary management services to our Vice-Chancellor and President’s Office (VCO) at the highest level. Your focus will be offering high-level administration support, exercising appropriate discretion and initiative across diary management, domestic travel coordination, documentation preparation and liaising with senior leaders.

In addition to managing the Vice Chancellor’s diary, you will provide administrative support to the Chief of Staff to coordinate the Vice Chancellor’s day packs, file papers and assist in the preparation of papers for Council and the University Leadership Team meetings.
Your role will also manage purchase orders and invoice payments for the VCO and play a key role in coordinating internal engagement initiatives for the Vice Chancellor including important Faculty, Division and School visits, as well as holding oversight of all events involving the Vice-Chancellor.

This role reports to the Chief of Staff and works closely with the Vice Chancellor’s Senior EA. You’ll play an integral role in the Office, always maintaining a high degree of confidentiality and using your sound judgment to coordinate priorities.

Who you are: We’re looking for a confident communicator with strong stakeholder management skills to build trusted working relationships across the University. As an analytical thinker and natural problem-solver, you’ll provide advanced administrative and logistical support to enable the VC& P Office to achieve their strategic goals.
You will hold the following skills & experience:

  • Previous experience as an Executive Assistant to senior leaders within a large and complex organisation.
  • Demonstrated ability to work under pressure with sensitive and confidential matters.
  • Confidence using Microsoft Office software including Outlook diary management, Word and Excel.
  • High level organisational skills with the ability to prioritise multiple tasks.
  • Project management skills, displaying strong initiative and a proactive approach.
  • The ability to work under pressure and solve administrative and complex diary management problems quickly.
  • Confidence to maintain effective and professional channels of communication, analyse requests, filter correspondence and prioritise urgent matters.
