Company Overview: Our client is a boutique creative agency with passion for brand building and doing things differently. Their clients value them for being strategic and innovative in their approach and this culture is present throughout the whole agency. Approximately 12 in size, they operate a flat structure with an ‘everyone pitch in’ mentality, there are no egos. They value positivity, trust, ambition, and collaborative relationships. Operating a hybrid working style with work/life balance, they have an output not time-based approach. Some days in the office and others remote, focusing on the importance of maintaining open communication and professionalism in all interactions.

Position Overview: As the Executive Assistant and Office Manager, you'll be at the heart of operations, supporting the Founder and COO and ensuring the smooth functioning the office. This role requires someone who is not afraid to take the lead, show initiative, and dive into new challenges head-on, you anticipate and do not wait to be asked. You'll be instrumental in keeping leaders organised, managing the founder’s inbox, and providing the direction needed to stay on top of tasks. Additionally, you'll handle office management duties, from ordering client gift packs to coordinating with the broader team to ensure everyone has what they need to succeed.

Key Responsibilities:
  • Take charge of the founder’s inbox, sorting, filing, and archiving emails
  • Provide high-level administrative support, including management of calendars, scheduling meetings, and preparing summaries of incoming communications.
  • Act as a liaison between the founder and other team members, ensuring clear communication and follow-up on tasks.
  • Assist with diary management, being strategic with time for breaks, ensuring focus can be given to key strategic initiatives.
  • Manage logistics associated with team activities, off sites, functions or events
  • Assist in management of project deadlines, including timeline and approvals management
  • Support in development of presentations, contributing to pitch decks and creative presentations
  • Oversee office operations, including ordering supplies, coordinating with vendors, and maintaining a tidy and welcoming workspace.
  • General hospitality for guests at reception, meetings and other events
  • Work closely with COO to support the running the business and ensuring the team operates smoothly
What you’ll need to succeed:
  • 5+ years previous experience as an Executive Assistant, ideally exposure to supporting C-level executives in a fast-paced environment
  • Strong organisational skills and the ability to multitask effectively – you’ve got things finished before someone has to chase!
  • Excellent communication skills, both written and verbal, with a keen eye for detail – no spelling mistakes please!
  • A proactive and adaptable approach, with the ability to anticipate needs and take initiative
  • Resilience and the ability to thrive in a dynamic and sometimes demanding work environment
  • Comfortable working independently and part of a collaborative team with a flat structure
  • Proficient in email management, MAC, Keynote and Excel
  • Previous experience in office management or a willingness to take on such duties
  • Empathetic and honest
What’s on offer:
  • Salary of 100K – 110K + Super, dependent on experience
  • Flexible work offering, 4 days in office, 1 days per week from home (usually Monday or Thursday)
