Location: Newcastle
This newly created position is an integral part of the Newcastle office administration team and works closely with the Human Resources and Legal teams to provide general administration support that projects a positive and professional image of our company. Umwelt are seeking an experienced administrator who understands the important of confidentiality and has the communication skills to obtain the information necessary to complete the tasks designated to them and the ability to manage the workload in an efficient and timely manner.
Key Responsibilities:
- Adding information and updating data for employees within various software systems including but not limited to SharePoint, Excel, Word, HRIS
- Maintaining employee files and updating and maintaining relevant documents, files and folders required for inductions, audits, training, marketing materials, etc.
- Assisting with and creating HR documents for new hires, and employee changes
- Conducting referee checks for potential candidates and where identified necessary book in interviews
- Organising pre-employment medicals and other relevant pre-employment tasks
- Assisting with the organisation of onboarding inductions for new starters and collecting relevant documentation for compliance
- Liaising with corporate and consulting teams as well as management to facilitate the efficient collection of information and documents
- Developing, reviewing, formatting and/or editing documents
- Supporting HR projects as directed and providing general administrative support to the HR and Legal team
- Checking legal tickets to ensure important information and attachments are incorporated and liaising with internal staff to gain missing information
- Assisting with ordering and prioritising tickets and conveying the priorities and deadlines to the legal team
- Liaising with staff to ascertain ticket status and assist in progressing ticket close out
- Assist the wider administration team as directly by the National Administration Manager when available and identified as necessary
About You
The successful applicant for this position, will be a highly motivated and enthusiastic Administrator with experience in the below areas:
- Appropriate tertiary qualifications in business administration or a similar
- Strong attention to detail with excellent verbal and written communication
- Proven understanding of confidentiality and the importance of integrity of sensitive information.
- Ability to work under pressure to strict deadlines, prioritising tasks and coordinating others to ensure deadlines are met
- High degree of professional integrity and takes pride in the quality of work with a strong ownership of responsibilities/accountabilities
- Be inquisitive to improve and seek opportunities to enhance presentation and quality of documents
- Advanced skills in Microsoft applications: Word, PowerPoint, Excel, and Outlook
