Due to our rapid growth, we are looking for a suitably qualified landscape Office administrator.

At In Depth Landscape Construction, we pride ourselves on our ability to deliver superior service and outstanding landscapes. Specializing in high-quality landscape installations, alongside comprehensive landscape design and construction services, we ensure a seamless customer experience from start to finish. With an exceptional reputation in the industry, we are expanding our dynamic team with the addition of enthusiastic and driven office administrator.

You will be communicating with potential clients, scheduling quotes to the sales team through to planning site visits, ordering material of accepted sales and liaising with project managers to ensure efficient and accurate scheduling of work and invoicing.

Asssisting the office manager in the implementation of our new business management system (Simpro) ensuring a seamless transition and adoption across all departments.

Oversee the efficiency and productivity of teams, promoting effective time management and a unified approach to achieve company goals. Manage direct reports from the management team including Project Managers, a Sales Manager, and an Office Manager, fostering a collaborative and results-driven environment. Proactively identify potential issues and implement effective solutions to prevent them, maintaining smooth operational flow. Ensure the teams have the necessary resources (people, material, equipment) to execute its activities efficiently. Maintain and enhance relationships with partners, vendors, and suppliers. Analyse internal and external data to inform strategic decisions and report on company performance.

Key Responsibilities:

- Responsibilities Of An Office Administrator

  • First point of contact for all clients, schedule quotes, site visits and project teams.
  • Conduct clerical duties, including filing, answering phone calls, responding to emails and preparing documents
  • Coordinate project deliverables
  • Perform accounting tasks, including invoicing and budget tracking
  • Schedule meetings and manage the business management system.
  • Provide administrative support for operations team
  • Monitor the production staff
  • Conducting activities to boost engagement and motivate employees
  • Performing analysis to determine the cost to benefit ratio
  • Identifying issues in the supply chain of the company
  • Running quality assurance checks
  • Creating and keeping track of staff schedules

Requirements:

- Cert III or above in administration or business management.

- 2 years of small/medium business management experience or proven achieved results ability.

- Proficiency in Excel and Word, experience with Xero, Simpro, or similar software.

- Team player with an outstanding work ethic and a natural instinct to go the extra mile.

Job Type: Full-time

Pay: $70,000.00 – $120,000.00 per year

Schedule:

  • 8 hour shift

Supplemental pay types:

  • High School (Year 12) (Required)

Experience:

  • Schedule management: 2 years (Preferred)
  • Office management: 2 years (Required)

Licence/Certification:

  • All relevant WHS cards (Preferred)

Work Authorisation:

  • Australia (Required)
