About the role

Our Executive Assistants mission is to support and help unleash the full potential of our executive team. If you are passionate about the craft of executive assistance, are highly organised and enjoy the challenge of fast-paced and dynamic environments, we would love to hear from you.

Based in our Sydney HQ, the role will be supporting three of our Exec team; Chief People Officer, Chief Financial Officer and Director of Operations and Transformation.

What you'll be doing:

  • Diary and Email Management: Diligently prioritise and coordinate internal and external meetings, ensuring efficient scheduling for executives.

  • Workflow Organisation: Maintain a seamless workflow for executives by managing day-to-day tasks and operational priorities.

  • Proactive Engagement: Demonstrate autonomy and initiative in responding to inquiries and elevating critical matters to executives' attention promptly.

  • Correspondence and Communication: Prepare clear and concise communications for both internal and external stakeholders.

  • Board Presentations: Assist in the meticulous preparation of presentations for board meetings, ensuring accuracy and professionalism.

  • Financial Management: Handle corporate expenditures and invoice processing with precision and attention to detail.

  • Relationship Building: Cultivate effective working relationships across the organisation, providing support to executive teams as needed.

  • Travel Coordination: Arrange and coordinate travel itineraries with efficiency and attention to executives' preferences.

  • Event Management: Coordinate onsite and offsite conferences and events seamlessly, ensuring smooth execution.

  • Project Support: Administer and track key project requirements and milestones, offering invaluable assistance to executive teams.

  • Task Support: Provide versatile support to executives across a variety of tasks, demonstrating flexibility and adaptability.

We'd love you to have:

  • Executive Assistant Experience: Demonstrated experience supporting executive-level management is essential.

  • Communication Skills: Exhibit exceptional verbal and written communication skills, instilling confidence and professionalism in all interactions.

  • Judgement and Discretion: Exercise sound judgement and discretion, maintaining a high level of professionalism and confidentiality at all times.

  • Agility and Flexibility: Adapt to various leadership styles and priorities, showcasing flexibility and agility in your approach.

  • Autonomy and Teamwork: Work autonomously while also collaborating effectively within a team environment.

  • Multitasking Ability: Navigate changing demands and priorities with ease, demonstrating strong multitasking and problem-solving skills.

  • Technical Proficiency: Possess excellent proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, and MS Teams).

  • Deadline Orientation: Thrive under pressure, consistently meeting deadlines with meticulous attention to detail.

  • Dynamic Environment: Flourish in a dynamic, fast-paced environment, embracing challenges with enthusiasm.

  • Industry Experience: While not mandatory, prior experience within the media industry is highly valued.
