About the role

This position is based on our Front Desk in our Preston VIC office but reporting to the Business Services Team Leader in Bokarina (QLD). The position involves scheduling appointments and reminders for Psychology clients, conducting appointment reminders, onboarding paperwork, adding clients to the client database, recording attendance, compiling invoices and assisting Psychologists with service enquiries.

Other duties include:

  • Providing a friendly and welcoming first point of contact and support for both internal and external clients via the telephone
  • Support the wider NDIS Administration team in all workloads and activities
  • Monitor, respond to and re-direct emails as appropriate
  • Maintain a centralised customer spreadsheet and ensure data entry is accurate and up to date
  • Preparation of service agreements and all relevant on boarding documents
  • Monitor and follow up all outstanding documents
  • Providing general front of house and office support to the clinical teams at the Preston site

About You

  • Experience working in a reception environment, ideally with a Health Practice
  • Previous high level administrative experience from a similar fast paced role
  • Demonstrated ability to plan, organise and prioritise work in an environment with multiple and conflicting demands
  • Ability to draft and format complex written documents
  • A self-motivated problem solver who can work both independently and in a team
  • Accuracy and attention to detail
  • Intermediate competency in Microsoft packages including Outlook, Outlook Calendar, Word and Excel.
  • DAX experience an advantage
