The Opportunity

As our Administrative Assistant, you'll play a crucial role in ensuring the smooth operation of our office and supporting our team in delivering outstanding service to our clients.

The Hours

Approximately 25 hours to be completed between office hours of 9am - 3pm, Monday - Friday.

Your Responsibilities Will Include

  • Client communication: Reviewing client inquiries and managing our support email, scheduling meetings, and addressing client concerns proactively.
  • Team coordination: Contributing to team meetings, checking in with team members, and assigning tasks based on team capacity.
  • Workflow review and maintenance: Identifying inefficiencies, proposing solutions for improvement, and troubleshooting workflow issues.
  • Offshore team oversight: Coordinating with offshore team members to ensure alignment with project goals and providing guidance and support as needed.
  • Project management: Reviewing project progress, coordinating timelines, and collating meeting notes in conjunction with the Relationships Manager.
  • SOP maintenance: Creating SOPs, recording videos for SOPs, and updating procedures as needed.
  • Client advocacy: Advocating for client interests and addressing client concerns or issues proactively including direct contact with the ATO etc.
  • Invoicing: Preparing and sending invoices, managing direct debits, and monitoring payment status.
  • Training and support: Providing training and support to staff members on new processes or procedures.
  • Document management: Reviewing, sending reminders, and maintaining all Panda Doc documents and correspondence.
  • HR recruiting and assistance: Participating in candidate sourcing, resume screening, and offer preparation.
  • Client onboarding: including onboarding information and correspondence, work rollout etc.
  • Management of End of Financial year work and compliance: including sending authorities and finalising lodgements.

To be considered for this great role, you will have:

  • Proven Experience in Office Management or Administration.
  • Experience within a professional services environment is desirable.
  • Experience in bookkeeping or accounting practices will be highly regarded.
  • Experience with Xero.
  • Excellent Communication and Interpersonal Skills (verbal and written).
  • A friendly and approachable demeanour coupled with active listening skills.
  • Proven ability to manage multiple tasks simultaneously, prioritize workloads effectively, and maintain meticulous attention to detail in a fast-paced environment.
  • Experience in implementing organizational systems or procedures will be advantageous.
  • Demonstrated capability to work independently with minimal supervision.
  • Familiarity with workflow management tools will be advantageous.
  • Ability to address client concerns proactively, build rapport, and foster positive client relationships.
  • Strong problem-solving skills with a proactive and innovative approach to addressing challenges.
  • Ability to adapt to changing priorities.
  • Strong team player with a collaborative mindset and the ability to work effectively as part of a diverse team.
