Speech Pathology Australia (SPA) is the national body representing over 15,000 members in the speech pathology profession. SPA supports and regulates the ethical, clinical and professional standards of its members as well as lobbying and advocating on behalf of all Australians living with communication and swallowing difficulties.

SPA presents an exciting part time opportunity for an enthusiastic individual looking for an opportunity to expand their administration career. The position is Melbourne office based with work from home opportunities.

Broad Functions

This position is part of the Professional Standards business unit and will work with and across Speech Pathology Australia’s business units to facilitate efficient delivery of administrative services. The incumbent will need to work independently and collaboratively with staff and stakeholders on specific administrative projects and tasks. This position will work closely with the Professional Standards manager and the Senior Administration Officer as well as the Ethics team to ensure operational and strategic administrative tasks are completed in a quality manner.

The Professional Standards (PS) business unit includes regulatory functions such as Skills Assessment for overseas qualified speech pathologists, certification audits and return to practice applications and accreditation of university programs. Other PS functions include provision of research grants, development of resources to support evidence-based practice and completion of strategic projects.

This position will focus on administrative support to regulatory functions and research grants and other administration duties as required by National Office.

Key Responsibilities

General:

  • To develop, maintain and review effective administrative systems and processes to facilitate functions.
  • Establish and maintain effective working relationships with staff to facilitate flow of information across the organisation and with key external stakeholders.
  • Coordinate the preparation and delivery of meetings via timely preparation of key resources, agendas and preparation of minutes for team, sub-committees, advisory and reference groups.
  • Draft communications for approval and coordinate activities for the recruitment of project officers, working groups members and committee members and advertising of research grants or other activities.
  • Draft internal and external correspondence and/or emails.
  • Work closely with staff to support travel, accommodation, and event management.

Professional Standards Team:

  • Provide administrative support including tasks such as: development and maintenance of registers of information, receipting and appropriate storage/saving of documents, preparation of invoices for payment, preparation of emails to send to members/stakeholders on behalf of PS team, formatting documents, and supporting the development of documents and resources.
  • Work with the team to coordinate, deliver, and continuously improve administration functions related to Certification audits and Skills Assessments.
  • Provide information to members and stakeholders regarding certification audits, professional recognition processes and research grants.
  • Verify applicant information as part of the Skills Assessment process.
  • Work with the Professional Standards team to triage and respond to queries and escalate queries utilising a risk framework to other staff as required.
  • Ensure all professional recognition applications have submitted required information prior to allocation for assessment.
  • Provide administrative support to research grants including regular reports on progress against required/agreed timelines.
  • Support the monitoring of budgets by keeping accurate records of invoices received and paid.
  • Support the development, review, execution, distribution, and receipt of contractual agreements for Professional Standards functions.
  • Work with Professional Standards team to coordinate an annual events calendar inclusive of university accreditation, internal and external meetings, and key functions.

To be suitable for this position you require:

Essential:

  • Prior experience providing administrative support in a team environment,
  • Strong customer focus.
  • Excellent organisation and communication skills.
  • Demonstrated ability to work independently and in teams.
  • Demonstrated ability to develop administrative systems to improve efficiency and quality of services.
  • Ability to evaluate and review quality of own work and identify opportunities for improvement.
  • Experience in coordinating stakeholder meeting and formatting professional reports.
  • Proficiency in Microsoft programs (Word, Excel, Teams, SharePoint, Planner), Adobe Acrobat and other computer packages.

Desirable:

  • Previous experience managing research grants and certification processes
  • Understanding or experience in professional associations or not-for-profit sector.
  • Experience in iMIS database searches and data entry.
  • Qualifications in administration.
  • A minimum of five years’ experience in a similar role.
