Description:

Melba's Home and Living Services (CHW/East) has an exciting opportunity for a Senior Administrator. This is a permanent Full time position. This position provides administration support to the General Manager – Home and Living Services (CHW/East) to achieve the accountabilities and responsibilities of that position as well as operating with a high level of autonomy in managing relationships between the General Manager and key stakeholders, the community and independently undertake or allocate tasks for resolution by other employees.

The position responsibilities include, but are not limited to:

  • Comprehensive
  • Provide high quality administrative support to the General Manager.
  • Proactively support the programs leadership team to ensure key operational and compliance activities occur with the required timeframe.
  • To schedule, agenda and minute key operational meetings, ensuring accountability to agreed actions.
  • To collect, collate and enter monthly reporting data into the NDIS Quality and Safeguard Commission Provider portal.
  • To oversee Melba’s internal NDIS workflow processes in CHW/East, ensuring that all requirements are met by the specified timeframes.
  • Maintain and track individuals key NDIS information in the program, including plan and service agreement expiry dates.
  • Provision of administrative assistance to all service delivery arms including initial responses to feedback, complaints and compliments.
  • Entry of monthly reporting data into the NDIS Quality and Safeguard Commission Provider portal.
  • Develop and maintain collaborative relationships externally with individuals with disability, their families, partners, key stakeholders, independent review bodies, regulatory bodies, and the public.

Requirements

  • Comprehensive understanding of Executive Administration functions.
  • Significant experience (minimum 5 years) in the provision of support to an Executive Officer, preferably with experience within the Disability services sector or other not- for- profit service or organisation.
  • Demonstrated ability to build collaborative working relationships
  • Ability to work holistically, recognising the value and contribution of all, mindful of cross-discipline appreciation and collaboration.
  • Demonstrated high quality written and verbal communication skills, with ability to convey information clearly and concisely.
  • A proactive, collaborative mindset and demonstrated capacity to work independently and within a team environment.
  • Demonstrated organisational skills with high attention to detail and effective time management.
  • Ability to deal with concepts and complexity comfortably, use analytical and conceptual skills to problem solve and develop creative ideas and solutions.
  • Demonstrated capacity to liaise effectively at all levels; relate well to all kinds of people; listen to and assimilate information from others; look for mutually acceptable outcomes; present information in a manner appropriate to purpose and audience.
  • Ability to deal diplomatically and sensitively with a diverse range of people and the ability to effectively deal with or refer people to appropriate operational areas within the organisation.
  • Attuned to changing organisational dynamics; forge links with other teams and business areas; take account of different functions in developing plans and activities.
  • High-level keyboarding skills and abilities in using a range of software applications, including Microsoft Office, MS Teams video conferencing and Adobe Acrobat coupled with high level speed and accuracy.
  • Intermediate to Advanced skill in Office 365 suite of applications essential.
