Description:

The primary responsibility of a Contract Administrator is ensuring organizational effectiveness by providing organisations effective management of all contracts. Must clearly understand the goals of the organisation and develop a clear vision of exactly how operations will help achieve them.

Key Responsibilities
1. Oversee overall contracts including Government contract jobs, planning, systems and controls.
2. Schedule and coordinate daily works
3. Supervise and coach operational staff on a weekly basis
4.. Manage HR requirements
5. Management and setting of the business budget in coordination with the executive Management team
6. Improve the operational systems, processes and policies – specifically to support better management, reporting, information flow and management, business processes and organisational planning.
7. Play significant role in long term planning, including an initiative geared toward operational excellence
8. Filing and archiving accounts records
9. Typing, photocopying, emailing and faxing correspondence
10. Attend monthly Executive Management meetings and submit a report based on company’s
financial status

11. Submit tender and quotations
12. Submit cost benefit analysis for any out-station work
13. Influence and lead others in the team to produce high quality project outcomes
14. Ensure that delivered products comply with contract specifications and recording and reporting on any non-conformances
15. Ensure that the project/job complies with WHS systems, policies, standards and procedures
16. Developing, reviewing and negotiating variations to contracts, programs, projects and services
17. Responding to inquiries and resolving problems concerning contracts, programs, projects, services provided, and persons affected
18. Managing paperwork associated with contracts, programs, projects and services provided
19. working with Technicians, Architects, Engineering Professionals, owners and others to ensure that goals are met
20. Advising the management on matters requiring attention and implementing their decisions
21. Collecting and analysing data associated with projects undertaken, and reporting on project outcomes
22. Manage a small team

23. Oversee office activities by providing guidance and training on office procedures, data entry, procurements, billing, collections, typing correspondences, and administrative policies and procedures.
24. Process pesticide licenses, permits, certificates and registrations.
25. Provide office supervisory support by supervising and coordination secretarial and clerical support functions for the Pesticide Regulation Section.

26. Stay aware of current industry trends, products and equipment.
27. Contributes to team effort by accomplishing related results as needed
28. Other reasonable tasks as required
