Job Summary

This fast-paced role reporting to the Warehouse Manager. This role that is provides administration support to the Warehouse for all goods received into and dispatched from stores and warehouses ensure accurate inventory control and traceability of all product history. This administration role will require preparation around dispatch, having labels and dockets ready, effectively communicating across the areas. Working smartly and safely, providing an efficient and effective service to our customers ensuring that at all times food safety and quality procedures are followed to J.H. Leavy & Co high levels of professionalism and service delivery.

What you will be doing

  • Ensure all administration is completed accurately and efficiently.
  • Preparation of driver paperwork that is required for receipting and dispatch.
  • Organise and prioritise documentation as required.
  • Generate reports if and when required.
  • Liaise with the warehouse team to ensure despatch time targets are meet.
  • Physical stock checks if and when required.
  • Ensure all stock labels are in place and accurate.
  • Ensure internal and external schedules are set and achieved.
  • Provide assistance and direction to store person for allocation of orders.
  • Maintain accurate and timely records to meet any compliance standards.
  • Ensure that the working areas are clean, tidy, and safe at all times.
  • All paperwork is collected, accurately completed on time where required.
  • Ensure QA requirements and procedures are maintained at all times. Good Manufacturing Practices (GMP)
  • Ensure own personal hygiene, behaviour and health is as per company’s requirements.
  • Notify Food Safety & Quality Manager if any evidence of pests or rodents are sighted.
  • Adhere to the company’s policies on standards specified for the protection of produce. Contributing to the wider Group
  • Contribute to continuous improvement of in-house systems and procedures.
  • Assist with client relationship management where required and attend client and industry events to support others in the Group.
  • Undertake and reasonable other duties as allocated which assist to fulfil the purpose of the position.

  • Represent the company in a professional way at all times.

  • Participate in professional and personal development as agreed with dept manager.
  • Deliver excellent customer service to both internal and external customers.
  • Assist in the ongoing development and achievement of the business by undertaking other tasks as may be required from time to time.
  • Read and develop knowledge on both product specific and general industry issues.

Workplace Safety and Wellbeing and PPE

  • Actively participate in and comply with all health, safety and wellness initiatives and requirements.
  • Ensure PPE equipment is in good working order, stored correctly, and any damage or misuse is reported to the Manager.
  • Lead a culture of safety and wellbeing, ensuring safety and wellbeing policies and procedures are being adhered and PPE is being used correctly, near misses and accidents are reported accurately and completed as soon as is practicable and inductions are carried out before an employee starts work.
  • Continually monitor, review, improve workplace safety and wellbeing systems and processes and report any concerns or ideas to manager.
  • Participate in emergency management and business continuity activation as required.

What you will bring skills, abilities, experience and qualifications

  • Proven administration experience with good understanding of team dynamics.
  • Strong analytical skills and attention to detail particularly dealing with numbers and grammar. Competent user of Microsoft Word and Excel.
  • Strong commitment to providing excellent client service for external and internal customers.
  • Excellent organisational and time management skills with the ability to balance competing demands and work to deadlines.
  • Safety conscious and ideally will have some understanding of food safety & quality compliance standards and/or demonstrated ability to work alongside rigorous workplace standards.
  • Good and confident communicator; skilful in use of language, verbal and in written form.
  • Professional approach and manner and think clearly under pressure.
  • Effective team player but also able to work unsupervised.
  • Able to demonstrate confidentiality and discretion.
  • Self-motivated and uses initiative effectively.
  • Highly supportive, flexible, and adaptable, uses organisational ability to enhance the effectiveness of others.
  • Sound knowledge of the produce industry, general produce understanding an advantage.
  • Focused on continuous improvement within the administration, operational, sales and marketing functions.
  • Be physically fit.
  • Forklift licence an advantage.

Job Type: Full-time

Salary: $28.00 – $30.00 per hour

  • Warehouse: 1 year (Preferred)

Licence/Certification:

  • Forklift Licence (Preferred)
