Salary : $43.20/h + superannuation
Hours: 35 Hours Per Week -
Location : Parramatta, NSW
Overview Provide a range of executive support and administrative services to support the Executive Director and their divisional teams to achieve organisational objectives.
Key Accountabilities and Responsibilities
- Assess and prioritise requests to facilitate the optimal use of the executive’s time.
- Manage the Executive Directors calendar, information flow, records and correspondence, coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda.
- Draft and prepare correspondence, agendas, minutes, presentations and briefing notes to support the achievement of business requirements.
- Gather, collate and provide background information for the executive to support informed decision making and planning.
- Provide administrative and logistical support to facilitate adherence to relevant agency policy (e.g. flevehicle, accommodation and travel bookings and use).
- Maintain and update administrative practices, systems and procedures to improve efficiency and
- service delivery.
- Build and maintain relationships with other business areas to effectively arrange and set-up for
- meetings and manage the flow of business information and activities.
- Works with supervision and guidance to achieve overall work commitments developed in agreement with the Executive Director.
- Acts independently to determine day-to-day priorities and negotiate matters related to area of responsibility.
- In matters that are sensitive, high-risk or business-critical, the role consults with team members and manager to agree on a suitable course of action.
Key Challenges:
- Undertaking accurate and consistent work within a high volume and changing environment
- Managing competing priorities and providing consistently high levels of support, given heavy workloads, short deadlines, and the need to maintain confidentiality and discretion.
- Liaising appropriately with a range of internal and external stakeholders with an understanding of their interests and relationship with relevant projects or programs.
- Exercising discretion and judgement in prioritising and organising access and information flow to the Executive leadership team
