Part Time Medical Receptionist
Please note that this role would require shifts at both our South Coast Ultrasound for Women locations:
- South Coast Ultrasound for Women 10/363 Crown St Wollongong, NSW 2500
- South Coast Ultrasound for Women Shop 6, 2 Memorial Drive, Shellharbour City Centre, NSW 2529
Required Days:
- Mondays 8am-5:15pm at Wollongong,
- Tuesdays from 7:45-5pm at Wollongong
- Wednesdays 7:45-5:15pm at Shellharbour
If required , Fridays 8am-5:15pm in Wollongong.
Desired: Previous experience in a medical environment & medical administration

ROLE OBJECTIVE:
To support the specialists, sonographers, Practice Manager, and reception peers to fulfil their service responsibilities. Contribute to the maintenance and progression of South Coast Ultrasound for Women as a medical imaging practice. Medical receptionists are required to always maintain professionalism.
KEY ACCOUNTABILITIES : Handle needs presented by patients and referring doctors
- Greet patients in a prompt and courteous manner for check-in.
- If needed, informing patients of delays and diagnostic requirements as required.
- Have patients complete appropriate questionnaires.
- Check-out patients & collect payment.
- Provide appointments for patients over the phone, email, and in-person.
- Update and input patient records as appropriate, including collecting and storing referrals.
- Ensure reception and foyer areas are tidy.
- Following-up with referring doctors if required
- Providing relevant correspondence
- Manage daily incoming and outgoing mail, emails, and faxes.
Disseminate information to medical practitioners and patients.
- Arrange as appropriate courier collection of specimens and parcels.
- Ensure reports are disseminated to practitioners in accordance with policy and procedures.
Provide administrative support to Doctors, Practice Manager, Specialists, Sonographers and Receptionists
- Daily reconciliation of banking (totaling up cash and EFTPOS)
- Supporting daily activities of the diagnostic practice
- Managing reports and related materials in support of diagnostic services and ensure reports are disseminated to practitioners in accordance with policy and procedures.
- Photocopying, maintain tidiness, and stocking tasks as required.
- Ordering of stationery and supplies as required.
Provide a safe environment for patients, visitors, and other staff
- Compliance with WHS procedures
- Knowing and correctly following triage procedures for unwell or “walk-in” patients
- Ensuring the centre is opened and closed in a manner that maintains your security and that of the premises.
Seek, evaluate, and communicate information on issues to the Specialists.
- Ability to use technology.
- Preparing briefs, reports and information on matters as requested
- Asking patients questions and preparing correspondence
Typing
- Typing with a high degree of accuracy, timeliness, and quality in a timely manner and on demand when required.
Suppliers
- Accessing their services to manage the daily running of the practice.
- Receive and record deliveries from external providers.
- Maintaining office equipment and arranging repairs as needed
Job Type: Part-time
Salary: $26.00 – $28.00 per hour

Experience:
- Medical admin: 1 year (Preferred)
- Customer service: 1 year (Preferred)
