Job Title: Dispatch Clerk

Location: Direk, SA 5110.

Payrate: $34.58

Overview:

As a Dispatch Clerk at the Direk site, you will play a pivotal role in ensuring the smooth operational activities and administrative tasks associated with the service centre. Your primary responsibilities will include welcoming and assisting truck drivers, coordinating dispatch movements, maintaining accurate documentation, and fostering harmonious relations with both internal and external stakeholders. You will work closely with the Service Centre Manager and Supervisors to uphold high standards of customer satisfaction, stock accuracy, and compliance.

Key Responsibilities:

  • Customer Interaction: Greet and welcome truck drivers into the Gillman yard, fostering harmonious and courteous relations with all external and internal customers on-site.
  • Vehicle Management: Direct customer vehicles to appropriate areas for issues, de-hires, and relocations, ensuring effective stock placement and turnover.
  • Transaction Processing: Process customer transactions and movements on-site, including the coordination of manual dockets and data entry to account for all issued dockets accurately.
  • Reconciliation and Reporting: Conduct daily, weekly, and monthly reconciliations and stock takes, reporting any discrepancies promptly. Ensure accurate and timely end-of-month reporting.
  • Customer Service: Handle and report all customer complaints, communicating and following up on customer orders with supervisors for production planning and order processing.
  • Logistics Coordination: Liaise with the Logistics department regarding relocations and CHEP metro movements, assisting in stock ordering as directed.
  • Documentation Accuracy: Monitor and ensure the accuracy of all dispatch documentation, making corrections within scope as needed.
  • Training and Support: Assist in the training of relief dispatch personnel, providing administrative and operational support as required.

  • Accuracy of Dispatch Documentation
  • Customer Vehicle Time on Site (Minimum)
  • Zero Customer Corrections due to Dispatch Errors

Required Skills and Qualifications:

  • Clerical and compliance expertise within a service centre environment.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Excellent communication skills for interacting with various external customers on-site and via electronic media.
  • Ability to interface effectively with customer truck drivers, ensuring smooth operations and resolving issues promptly.
  • Proficiency in administrative tasks and operational activities, with the flexibility to adapt to changing priorities.

Additional Requirements:

  • Previous experience in a dispatch or similar role preferred.
  • Familiarity with inventory management systems and logistics coordination.
  • Ability to work efficiently in a fast-paced environment while maintaining a positive attitude.
  • Willingness to undergo training and continuous improvement to enhance job performance.

Working Conditions:

This role involves working in a dynamic service centre environment, with regular interaction with customers and operational staff.

Occasional weekend or evening work may be required to support operational needs.
