A.S.James Pty Ltd is a privately owned geotechnical engineering company, successfully trading for 60 years, carrying out investigations in a wide range of commercial, industrial, residential, civil and developmental projects across Australia since 1963.  

About the role

We are seeking a person with experience in an office to work alongside and support our team of 12 staff in our Ballarat facility. You will need to have excellent communication skills, strong organisational skills, show initiative and a real passion to assist one of the Directors and our two Ballarat Managers.  The applicant must be reliable, efficient and be an experienced administration officer.

The role is permanent part time 20 hours per week.  We require 4 hours work on Mondays, Tuesdays, Thursdays & Fridays, preferably 10am-2pm and 4 hours on Wednesdays from 1pm-5pm however we are prepared to work with a suitable applicant and have some flexibility.

Our ideal candidate

  • General office administration including answering phones and excellent computer skills
  • Supporting Director and Managers with administration needs
  • Taking dictation remotely from Director and Managers on site
  • Data entry, order processing, issuing invoices, responding to customer enquiries
  • Report writing as directed
  • Liaise and assist team & customers regarding documentation
  • Liaise with Laboratory teams
  • Office purchases when required
  • Carry out tasks at the highest standard possible while meeting requirement deadlines
  • Good communication
  • Maintain a clean working environment
  • Ability to complete your work without constant supervision
  • Experience with Microsoft including Excel
  • Xero experience (not essential, will train)
