Halcyon Knights is currently seeking an experienced Executive Assistant to support our esteemed state government client based in Adelaide CBD ASAP. The ideal candidate should be able to hit the ground running with minimal training and will possess exceptional diary management, executive management and organizational skills, a proactive approach to problem-solving, and the ability to thrive in a fast-paced environment. As an Executive Assistant, you will be responsible for diary management, maintaining organizational efficiency, and providing high-level administrative support to the executive team.

ABOUT THE ROLE
  • Efficiently manage the executive's diary, ensuring all appointments and commitments are organized and prioritized effectively.
  • Maintain a high level of organization within the executive's office, ensuring smooth operations and workflow.
  • Collaborate effectively with team members and other stakeholders to facilitate seamless communication and coordination.
  • Demonstrate the ability to work in a fast-paced environment and prioritize tasks efficiently to meet deadlines.
  • Manage executive mailboxes, both generic and individual, and ensure timely responses to incoming correspondence.
  • Coordinate calendars and schedule meetings with directors and other key stakeholders on a daily basis.
  • Maintain records and progress agendas for meetings, ensuring all relevant documentation is prepared and distributed in a timely manner.
  • Provide accurate and concise minutes for meetings, capturing key discussion points and action items.
  • Occasionally manage travel arrangements for the executive, including booking flights, accommodations, and transportation.
  • Familiarity with Basware is desirable, although not mandatory.

ABOUT YOU
  • Proven experience as an Executive Assistant.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong interpersonal and communication skills, with the ability to interact confidently with individuals at all levels.
  • Proficiency in MS Office suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.
  • Ability to maintain a high level of discretion and confidentiality when handling sensitive information.
  • Flexibility to adapt to changing priorities and work requirements.
  • Must have a police clearance or willing to obtain it immediately
